We are seeking a Service Support Assistant to join our Finance Team within Children and Family Services. This role is ideal for someone who excels in invoicing, procurement, and can handle large volumes of data efficiently. The successful candidate will be adept at using Excel and bespoke databases, and possess a keen attention to detail.
Day-to-day of the role:- Ensure confidential matters are handled appropriately.
- Complete various administrative tasks such as case notes, episodes, uploading documents, and sending correspondence within given timescales and to a high standard, following agreed practices and procedures.
- Contact parents/carers, referrers, and other agencies as directed, to clarify or seek additional information.
- Receive visitors and respond to and screen telephone calls, emails, and other enquiries to provide a high level of customer care.
- Undertake tasks to improve data quality in key systems, identify duplicate records, and take responsibility for the assignment of unique client reference numbers for all referrals.
- Notify managers of unique client reference numbers and suggest actions to remedy specific issues.
- Strong attention to detail and the ability to process large volumes of data efficiently.
- Professional communication skills with both internal and external stakeholders.
- Proficiency in Excel and experience with bespoke databases.
- Experience in handling multiple professional interactions.
- Ability to apply safeguarding checks to day-to-day tasks, reading, analysing, and highlighting concerns as directed by a team leader or manager.
- Flexibility in taking on additional tasks and a cooperative attitude towards supporting colleagues.
