Job Title: Fleet Administrator
Location: Head Office (Office Based)
Salary: 30,000 - 32,000 per annum
Contract: Full-time, Monday - Friday, 8:00am - 4:30pm (40 hours excluding breaks)
Overview
We are seeking a detail-oriented Fleet Administrator to join a busy transport team. Reporting to the Transport Manager, you will play a key role in ensuring the smooth administration of a company fleet, maintaining compliance with legislation, operator licence requirements, and internal policies. This is a highly organised, office-based role, ideal for someone with experience in transport or fleet administration who thrives on accuracy and efficiency.
Key Responsibilities
Monitor and administer fleet compliance planner (MOT, Chassis Service, PMI, LOLER, Tacho inspections, etc.).
Provide daily and weekly service reports to the Transport Manager.
Liaise with on-site maintenance teams and off-site vehicle dealers.
Issue daily vehicle availability reports to maximise fleet uptime.
Ensure all vehicles have current vehicle tax.
Process and follow up on fines, PCNs, tolls, warnings, and NIPs.
Administer insurance claims, uninsured loss recovery, and driver negligence claims.
Maintain repair and defect logs, and manage equipment transfers.
Assist with Operator licence compliance.
Audit and manage fuel cards.
Maintain vehicle files and act as local contact for maintenance provider paperwork.
Administer vehicle telematics systems and repair sign-offs, including raising purchase orders.
Maintain driver compliance systems (e.g., Davis Licence Check, Tachomaster).
Record Working Time Directive (WTD) information accurately and on time.
Perform other transport administration duties as required.

Job Knowledge & Experience
Previous experience in a Transport or Fleet Administration role is essential.
Working knowledge of Tachomaster is desirable.
Training and support will be provided as needed.
