Job Purpose To provide administrative support to the Sales, Proposals, Marketing, Legal and Commercial teams.
Majority of time spent Providing administrative support to the department

Responsibilities.

Provide general administrative support to the sales, proposals, marketing, legal and commercial teams
Organise travel and accommodation requirements for the sales, proposals marketing, legal and commercial teams including coordination with marketing regarding event organisations alongside this responsibility, the Sales Administrator may be asked, from time to time, to support organisation of travel and accommodation for other departments
Coordinate and manage upkeep of the Salesforce
Monitor and report on KYC / Compliance information alongside Accounts department
Arrange and participate in departmental meetings, take minutes, and manage follow-up actions
Produce and update documents for sales/departmental meetings
Prepare and produce Pre-qualification Questionnaire responses
Register CEL to externally used client procurement software and monitor online tender progress
Assist Sales team with post-quotation follow-up calls
Ensure tender documentation is recorded and saved into relevant job files
Stationary monitoring and ordering
Filing and archiving
Update electronic sales files
Internal audits
Adhere to Health, Safety, Environmental and Quality management policies and procedures
Assist with department expenses
Apply for and maintain Visas for the department personnel as/when needed
Attend conferences/exhibitions to provide support from time to time
Deputise for the Personal Assistant to the President to cover sickness/annual leave
Coordinate meeting room booking with other administrators to ensure optimal meeting room sizes are used
Technical/Professional Knowledge and Skills
Strong IT skills- including Word, Excel, Salesforce, MS Project.

Essential
A minimum 3 years experience of working in a demanding Administrative role in a fast moving environment.
A minimum A level standard of education or equivalent qualification.

Experience of working in a commercial engineering or industrial environment.
