Legal Administrator

Location: Liverpool / Birmingham

Our client is a leading full service intellectual property firm with an international client base, and they have offices located in Birmingham, Liverpool, London and Munich.

Since being established in 1884, they have grown from a regional firm into an international practice. The Role

They are currently looking to recruit a Legal Administrator to join their team in either their Birmingham or Liverpool office.

The successful candidate will provide a support service to the patent fee earners, involving all aspects of patent legal administration and will be reporting to Partners/Fee Earners/Operations Manager.

This is a great opportunity for someone seeking an administrative role in an office environment.

This role does not offer a route to training as an IP lawyer.

Duties include:

  • Processing correspondence to and from the client
  • Preparation of online forms for registration of patents and designs
  • Drafting and finalising invoices, uploading invoices to e-billing systems
  • Organising completion of fee earner’s workload when they are not available
  • Dealing with fee earner’s incoming emails
  • Preparation of cost estimates and reports for clients
  • Diary management
  • Telephone cover for offices when required
  • Minute taking when required
  • Drafting letters, emails and occasionally travel schedules
  • Basic record entering and record keeping
  • Proof reading
  • Sorting, prioritising, and dispatching of documents
  • Transcribe audio dictated correspondence
  • Other general duties commensurate with position

Skills and Qualifications

  • Demonstrable experience of working in an office based administrative role for 1.5 years+.
  • Experience working on high volumes of admin tasks in a focused and diligent way.
  • Confident in using latest communication technologies e.g Microsoft Teams.
  • Demonstrable experience of using databases and other systems.
  • Ability to work both independently and as part of a team.
  • Proven organisational skills, can effectively plan and execute tasks that change on daily basis.
  • Possess a commitment to quality and attention to detail. A high level of accuracy is essential.
  • Able to work under time pressures and prioritise workloads when urgent tasks are required.
  • Strong written and verbal communication skills, able to give and receive feedback effectively.
  • Can understand and follow standard processes correctly.
  • Able to use audio transcription tools e.g BigHand etc. (not mandatory but desirable).
  • Reliable team player with a friendly, adaptable and efficient work style.
