We are seeking a reliable and detail-oriented Maintenance Planner to support our client in Livingston. This role is key in supporting the Maintenance Resource Planners and ensuring the smooth coordination of reactive maintenance work across operations.

You will play a vital part in handling customer communication, coordinating third-party contractors, managing work schedules, and ensuring stock availability to support the maintenance technicians.

Key Responsibilities:

  • Assist Maintenance Resource Planners in scheduling and coordinating reactive maintenance tasks
  • Act as a point of contact for customer queries via phone and email, providing timely and professional responses
  • Raise Purchase Orders (POs) for external contractors and suppliers
  • Raise and process invoices for customer chargebacks
  • Communicate with depot teams to check and confirm stock availability for planned maintenance work
  • Maintain accurate records and administrative systems related to maintenance and contractor activities
  • Support in tracking job progress and updating systems accordingly
  • Collaborate with internal teams to ensure all maintenance activities are planned and executed efficiently

Skills & Experience Required:

  • Strong administrative and organisational skills
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment
  • Competent in Microsoft Office (Excel, Outlook, Word)
  • Experience with planning, scheduling, or facilities systems is desirable but not essential
  • Previous experience in a maintenance, facilities, or operational support role is a plus
