An exciting opportunity has arisen for an experienced and highly organised Administration Officer to join a vibrant and inclusive primary school in the NW6 area. This is a key role within the school’s administrative team, supporting day-to-day operations and working closely with the School Business Manager to ensure the smooth running of office functions.
The successful candidate will be based at either the EYFS/KS1 or KS2 site, depending on the needs of the school, and should be flexible to work across both when required. The school office operates between 7.30am and 4.30pm.
Main Responsibilities:
- Manage pupil admissions and transitions
- Monitor and record pupil and staff attendance, liaising with leadership as needed
- Maintain up-to-date school databases (staff and pupils)
- Submit statutory data returns (e.g., DfE census, LA reports)
- Handle finance-related duties including dinner, trip and club monies
- Manage school orders, uniform inventory, and stock control
- Coordinate general administration, school trips, and diary management
- Provide a welcoming front-of-house service for parents, visitors, and staff
- Liaise with external services including the website designer and training providers
- Ensure all systems support the safeguarding and welfare of pupils
Person Specification:
Essential Experience:
- Minimum 6 months in a school office environment
- Familiarity with school databases and attendance systems
- Experience managing your own workload and working as part of a team
- Strong organisational and administrative experience
- Front-line customer service experience
Desirable:
- Experience managing school dinner money systems
- Admissions experience within a school setting
Skills and Qualifications:
- Excellent written and verbal communication skills
- Ability to multitask and work well under pressure
- Confident using a range of IT systems and platforms
- Ability to analyse and present data accurately
- Minimum GCSE grade C (or equivalent) in English and Maths
