We are happy to be recruiting for one of our high-profile banking clients. They are currently looking for an Administrative Coordinator to join them for an initial 9 month contract, however there may be scope for extension.
The Background:
The OAD Planning section acts as an independent control and reporting function within OAD/ODED. All departmental governance including but not limited to, internal and external reporting, management committee preparation, organisation change and projects and change management reporting is centralised by the section. OAD Planning can be a central point of contact for internal queries coming into the department including those from RMD, F&C and Audit. The section is also responsible for ensuring risk and control adherence, budget evaluation and acts as a liaison with Head Office to support OAD/ODED in all aspects of business.
Role Purpose:
- To administer a broad range of OAD / ODED control and governance activities undertaken by OAD Planning team including, but not limited to : Governance meeting preparation and presentation, Audit and regulatory task monitoring, ad hoc statistical analysis, budget control, BCP planning, maintaining key department-wide databases, and In Office Inspections
- To champion and lead continuous improvement initiatives to enable enhancement of existing practices resulting in efficiency savings
- To provide support for Bank wide projects including Head Office and Compliance activities
Accountabilities & Responsibilities:
- Administer In Office Inspections in line with Head Office rules. Upon issuance of new inspections, analyse and challenge effectiveness of rules where appropriate.
- Compiling and circulating MI packs across OAD / ODED
- Preparing and distributing management reports to stakeholders throughout the Bank
- Maintaining the departmental operational incident trackers using Connected Risk
- Day to day administration of OAD activities including chasing and obtaining sign off from each section
- Weekly reconciliation of OAD's staff management tools including the departmental org chart and headcount monitoring
- Contributing to the documentation and maintenance of applicable OAD Planning procedures.
- Acting as liaison between OAD and IT ensuring testing schedules and development work is prioritised across the department.
- Assisting in the preparation of OAD committee / steerco documentation submissions, ensuring accurate and transparent reporting
Knowledge, Skills & Experience:
- Strong analytical skills - Excel proficient (VLOOKUP, pivot tables)
- Comfortable communicating at all levels, both verbally and in writing
- Specialist knowledge of at least one banking product would be an advantage
- Self-motivated; able to manage competing priorities concurrently with minimal supervision.
- Flexible and adaptable to changing business requirements and new task assignments
- Demonstrable ability to improve existing practices; willing to take the lead to see goals through to completion
- Act with integrity at all times; be a role model showing willingness to support / guide others when necessary; demonstrate sound judgement
Desirable Experience:
- Japanese speaking
Location:
This is a hybrid working role, with a requirement to work from the clients London office 2-3 days a week.
Working hours:
Standard working hours with some flex where required.
