Job Overview

We are seeking a skilled Construction Administrator to join our team. The ideal candidate will have experience in administrative support within the construction industry, specifically in commercial fit-out projects, with exposure to estimating processes. This role will involve supporting project managers, estimators, and other team members to ensure seamless project delivery and efficient office operations.

Key Responsibilities

  • Provide administrative support for commercial fit-out projects, including preparing and managing project documentation such as contracts, schedules, and submittals.

  • Assist the estimating team with preparing bid documents, cost breakdowns, and quantity takeoffs.

  • Maintain and update project management systems, ensuring accurate records of correspondence, drawings, and specifications.

  • Coordinate meetings, track project milestones, and liaise with subcontractors, suppliers, and clients as required.

  • Prepare reports, presentations, and other materials for project updates and client meetings.

  • Monitor project budgets and timelines, escalating potential issues to project managers.

  • Handle general office duties, including answering inquiries, managing emails, and ordering materials.

  • Ensure compliance with company procedures and industry standards, particularly in relation to commercial fit-out regulations.

Qualifications

  • Experience: At least 1-2 years of administrative experience in the construction industry, with a focus on commercial fit-out or refurbishment projects.

  • Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and industry-standard software (e.g., Procore, Bluebeam, or similar).

    • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.

    • Excellent communication skills, both written and verbal.

    • Ability to work collaboratively and independently with a high level of attention to detail.

Preferred Qualifications

  • Knowledge of construction and fit-out terminology, processes, and best practices.

  • Familiarity with project scheduling tools or cost management systems.
