PA to Chief Financial Officer, Renowned Arts organisation, temporary role for 5 weeks initially, £16.00-£17.00 per hour plus holiday pay
Our client, a renowned Arts organisation, requires a Personal Assistant to support the Chief Financial Officer. This is a great opportunity to provide proactive and efficient PA support to the CFO while they start to recruit. A hybrid working pattern is possible with this role.
Main duties of this Personal Assistant role are:
- Manage the diary of the Chief Financial Officer
- Arrange meetings and act as first point of contact, meet and greet on the day and prepare for the meetings - refreshments etc
- Proactive inbox management
- Draft correspondence
- Produce reports, papers and minutes
- Ensure that agendas and papers have been issued for key governance meetings
- Travel arrangements
- Maintain financial records
- Process expense claims and invoices
- Assist the Teams reporting to the CFO with administration where needed
- Assist with administration for away days, sickness absence, office supplies and ensuring that team membersā benefits are received
- Work closely with the Corporate Centreās Administration Team and Assistants across the organisation
Skills and Experience
- Proven experience of working in a PA role in a busy office
- Excellent Administrative skills with experience of organising meetings and managing diaries, filtering and providing information
- Experience setting up, managing and maintaining filing systems
- Strong organisational skills - ability to plan and prioritise a varied workload
- Able to work positively under pressure to meet deadlines
- Accuracy and attention to detail
- Fast and accurate word processing - confident using Word, Excel, Outlook, PowerPoint, databases and internet applications
- Able to take the lead with hybrid meeting technology and manage hybrid meetings for both internal and external stakeholders
- First class communication skills with the ability to build rapport with a wide range of people at all levels
- Experience of handling confidential and sensitive information
- Letter drafting skills, able to produce minutes, reports and presentation materials
- Confident working with financial information
- Team player
