Research Grants Administrator

We are seeking a Research Grants Administrator to join the Joint Research Management Office (JRMO) .

This role is crucial in supporting researchers and ensuring the accuracy and management of post-award administration, particularly focusing on studentship grants. The ideal candidate will have an in-depth knowledge of sponsor rules and regulations and will be instrumental in the financial management of grants and awards.

Day-to-day of the role:

  • Manage a portfolio of grants and contracts, including Doctoral Training Grants and Centres, ensuring accurate and timely submission of invoices and claims.
  • Monitor income and expenditure on awards, dealing with complex issues and submitting interim and final expenditure statements in collaboration with grant holders.
  • Authorise and submit Starting Certificates to Research Councils, adhering to sponsor rules and meeting deadlines to initiate payments.
  • Prepare and approve final claim submissions to external sponsors, working closely with grant holders and departmental administrators to maximise financial returns.
  • Oversee project setup and closure procedures on the finance system for all studentship grants and contracts, ensuring data accuracy for reporting purposes.
  • Communicate new awards and extensions to relevant parties to prevent delays in student appointments to grants.
  • Authorise studentship forms, Change of Details Forms, and Interruption of Studies forms, confirming funding availability and approving changes in liaison with the Research Degrees Office.
  • Ensure accurate stipend and tuition fees charges to grants in close liaison with the Finance Department.
  • Collaborate with other Higher Education Institutions (HEIs) on DTP awards to ensure budget accuracy and timely invoicing.
  • Produce periodic reports on DTP income and expenditure for senior management to inform planning and recruitment, ensuring full utilisation of allocations.
  • Adhere to the College’s Equal Opportunities & Health & Safety Policies and undertake any other duties as reasonably expected by the line manager or Head of Department.

Required Skills & Qualifications:

  • Proven experience in post-award grant administration, preferably within a higher education or research institution.
  • Familiarity with financial management of grants and awards, including studentship grants.
  • Strong understanding of sponsor rules and regulations.
  • Excellent organisational skills with the ability to manage multiple tasks and meet deadlines.
  • Strong communication skills and the ability to work collaboratively with various stakeholders.
  • Proficiency in financial systems and reporting tool
