A Commercial Property Management Company in West Hampstead, looking for a Team Administrator to join their friendly and experienced team. This is a varied role providing essential administrative support to the property management team, ensuring the smooth running of day-to-day operations.

Key Responsibilities

  • Provide general administrative support to the property management team.
  • Manage incoming and outgoing post, electronic filing, and paper records.
  • Act as the first point of contact for day-to-day queries.
  • Prepare agendas and take minutes for team meetings.
  • Schedule and coordinate regular monthly and quarterly meetings for the Head of Team.
  • Arrange travel, accommodation, and transport for the Property and Facilities Managers; process related expenses.
  • Liaise with tenants, contractors, and consultants to arrange inspections, access, and minor works.
  • Maintain and update property databases, including vacant property records with utility, rating, and EPC consultants.
  • Conduct occasional site visits for routine inspections and meter readings.
  • Manage health & safety and statutory compliance databases across the property portfolio.
  • Perform land registry searches, mail merges, and draft/issue formal letters and documents.
  • Coordinate and organise corporate and team events throughout the year.
  • Upload invoices to the Dwellant system daily.
  • Collate monthly vacant property inspection reports and submit meter readings.
  • Order equipment, supplies, or property-related items using the company card.
  • Issue standard template letters to tenants, including service charge notifications, compliance requests, and welcome packs.

Skills & Experience

  • Strong organisational skills with excellent attention to detail.
  • Professional telephone manner and customer service skills.
  • Ability to work independently and as part of a team, meeting deadlines under pressure.
  • Previous experience in commercial property administration is desirable but not essential.
  • Confident IT skills, including Microsoft Word, Excel, and Outlook.
  • Mail merge and audio typing skills are an advantage.
  • Experience with property management systems (QUBE or similar) preferred but not essential.
