We’re on the lookout for a proactive and dependable Facilities Admin Assistant to support a busy Facilities Management team in Central London. This is a full-time, fixed-term position for 12 months, with the potential to go permanent. The Facilities Admin Assistant will play a central role in managing day-to-day admin processes, supporting compliance tasks, and keeping essential records up to date. You’ll be working Monday to Friday, 8am to 5pm, as part of a supportive team handling essential facilities services across multiple sites.

Your Day-to-Day as a Facilities Admin Assistant
? Handle incoming helpdesk queries related to facilities, utilities and compliance
? Track and follow up on utility queries across the property portfolio
? Assist with Health & Safety documentation and scheduling checks
? Organise statutory inspections and insurance documentation
? Maintain and update essential records and O&M documentation
? Provide admin support for direct contracts and service providers
? Ensure accurate documentation and timely completion of reports
? Support general administrative tasks to ensure smooth day-to-day operations
What We’re Looking For
To succeed as a Facilities Admin Assistant, you’ll ideally bring:
? Previous admin experience, ideally within facilities, property or compliance? Excellent organisational and time management skills? Strong attention to detail and accuracy in handling reports and documentation? Confidence using Microsoft Office and internal record-keeping systems? A professional and proactive approach to managing queries and tasks? Clear communication skills and the ability to work across teams
