Summary :
The Sales Support Assistant provides essential office and sales support ensuring
smooth day-to-day activities of the commercial team. This role includes managing orders,
coordinating shipments, handling office supplies, liaising with customers and third parties,
providing general assistance to our management teams. This commercial support assistant
will have great attention to detail and strong organisational skills who will help maintain
efficiency across various departments.

Commercial Manager (CEO in interim)
Direct reports Administrative assistant
Key Accountabilities
Responsibilities include, but are not limited to:
- Responding to incoming enquiries, providing sales quotations, sales orders and
shipping arrangements.
- Entering and managing customer orders using SAP and other relevant software.
- Provide order confirmations to customers.
- Coordinating and attending distributor meetings for the commercial team and
monitoring distributor performance
- Assisting with front desk duties, including answering calls and receiving deliveries.
- Monitoring and maintaining office inventory, including stationery, refreshments,
cleaning supplies and placing weekly orders as needed.
- File invoice with dispatch confirmation
- Managing shipping documentation, charges and external freight forwarders and
follow up on any missed collections, held or pending shipments providing further
information if necessary.
- Track shipping and informs customers of dispatch dates and shipping details.
- Applying for additional certificates for shipping as issued by Chamber of Commerce.
- Add shipments to Shipping Analysis including tracking number, charge if applicable,
courier name, description of goods.
- Ensuring Dangerous Goods regulations and documentation are completed
accurately, this role will be required to pass the Dangerous Good Regulations
Certificate training.
- Performing general Office tasks such as handling telephone calls, managing office
and kitchen supplies, processing mail and greeting visitors.
In collaboration with warehouse -
- Prepare and pack orders.
- Prepare shipping documents, including airway bill and commercial invoices (if
required).
- Keep record of specimen serial numbers.
- Check stock of packaging materials with warehouse - boxes, chips, bags, tape etc -
source and re-order as necessary
In collaboration with Business Development Team
- Prepare sales quotations as instructed on SAP
- Assist in monitoring info@ email, replying to enquiries
- Preparing sales data for monthly report
In collaboration with Management Team
- Assist finance team as requested; following up on missing receipts, checking
invoices, filing
- Assist HR team with routine admin tasks
- Occasional support to CEO and management team for meeting coordination - for
example, booking of offsite meetings or supplies for Board or external meetings.
- Support in other areas of PCS as the need arises.

Meeting or exceeding on time delivery of orders to customers
Desirable knowledge, skills and experience
- Strong MS Office skills (including but not limited to: Microsoft Word, Microsoft
Excel, Microsoft PowerPoint, Outlook, SAP and HubSpot would be advantageous
but can be trained.
- Excellent English written and verbal communication skills.
- GCSEs/A-Levels or equivalent qualifications; further education or administrative
certification is a plus.
- SAP system experience required.
- Experience of working in an export environment.
- Excellent organization and planning skills.
- Proficiency in basic arithmetic and data handling.
- High level of reliability, flexibility, and organisation.
- Skilled in multitasking and prioritising tasks independently.
- Exceptional interpersonal and relationship-building skills.
- Demonstrates high accuracy and keen attention to detail.
- Proactive and able to take initiative.
- Effective problem-solving abilities
- Flexible as activities will vary each day.
Place of work & Hours:
Monday-Friday full time office based.
Hours of work are 9am-5pm, Monday to Friday

Methods of training Onboarding plan training - including Health & Safety, training will be provided on internal
software systems, basic introduction and understanding of departments, handover will be
