We are seeking a dedicated Client Billing Coordinator to join our finance team. This role is crucial for managing and producing accurate billing and credit notes, ensuring compliance with firm procedures, and providing support across our London and Dublin offices. The ideal candidate will have a strong background in legal accounts and be proficient in using Elite 3E and Microsoft Office 365.
Day-to-day of the role:- Produce drafts, bills, and credit notes using Elite 3E & Paperless in compliance with firm procedures, in collaboration with Timekeepers.
- Manage proforma production for monthly and transactional billing.
- Provide help desk support for fee-earners and secretaries in bill creation.
- Monitor and chase monthly bill production, ensuring strict compliance with the firm's procedures and Alternative Fee Arrangements.
- Distribute drafts and finalized bills to appropriate departments and maintain bill filing within the accounts department.
- Produce missing/pending time reports and process instructions received.
- Check and correct matter information to comply with firm procedures.
- Control and reconcile charges and disbursement records on the client side.
- Develop and improve processes and workflows to enhance billing services.
- Provide support on billing, paperless proforma, and e-billing to other firm members.
- Regularly liaise with the AML team to ensure compliance.
- Monitor old matters for unbillable balances and manage file closures.
- Produce reports as required from 3E or Excel.
- Handle other ad-hoc finance-related tasks as assigned by line managers or partners.
- Sound knowledge of 3E Accounting software.
- Proficiency in Microsoft Office 365, especially Outlook & Excel.
- Understanding of Solicitors Accounts Rules, Anti-Money Laundering Regulations, and VAT.
- Experience in a billing or accounting department using an automated system.
- Ability to maintain confidentiality and handle sensitive information.
- Strong multitasking skills, able to work under pressure and adapt to flexible work assignments.
- Effective communication skills and the ability to interact professionally with diverse personalities.
- High level of accuracy and attention to detail.
- Previous legal accounts experience.
