The Project
As an experienced Document Controller, you will play a key role in supporting the delivery of a 20m new build healthcare project in South-West London. You will be responsible for managing all project documentation, ensuring it is correctly organised, version-controlled, and readily accessible to the project team and stakeholders. Your work will be essential in maintaining compliance, streamlining communication, and ensuring accurate and efficient document management right through to final handover.
Requirements
For this role it is essential that you hold the skills, industry and software experience below;
- Proficient in the use of document management systems
- Strong background within the industry with at least 3 years of experience working in a similar position for a construction contractor or subcontractor

- Knowledge of standards and regulations
- Strong communication and attention to details
- Effective time management and problem solving
- Understanding and familiarity with construction related documents such as blue-prints, specifications and contracts
- In-depth expertise in electronic data management systems, supplier document controls, electronic filing systems, final handover procedures, and technical libraries, including codes, standards, and legislation

Duties
- Quality assurance
- Process management
- Use of document management systems
- Regularly reporting to the Project Director / Management team
- Assist with the administration of the induction process as required
- Provide relevant stakeholders with the most current and accurate documents
- Ensure adherence to all company documents and procedures is consistently upheld
- Manage and oversee the administration of the Document Control system for the project
- Offer training and assistance to team members on document control procedures and software
- Generate and distribute regular reports on document status, outstanding issues, and compliance
- Ensure all documents adhere to company standards, industry regulations, and project requirements
- Safeguard sensitive and confidential information, ensuring access is limited to authorized personnel only
- Prepare documents for audits and inspections, ensuring all required information is accurate and complete
- Arrange, oversee, and preserve all project-related documentation, including drawings, specifications, contracts, and correspondence
- Establish and administer document control systems and software to ensure efficient storage, retrieval, and distribution of documents
- Create and upkeep electronic and physical filing systems, ensuring documents are accessible and well-organized
- Ensure all physical documents are scanned and stored on the company server, maintaining the correlation between hard and electronic copies for auditing purposes, and ensure full adherence to document control processes
- General administration tasks such as answering the phone and emails, ordering office supplies, setting up meeting rooms, assisting with timesheets when required, any ad hoc duties
