Overview:
Our client, a reputable legal firm, is seeking a dedicated and organised Conveyancing Secretary to join their Conveyancing department. This is a fantastic opportunity for an individual with a passion for the legal field and a strong foundation in administrative support within conveyancing.

Key Responsibilities:
As a Conveyancing Secretary, your primary role will be to provide vital secretarial and administrative support to two partners in the conveyancing department. Your responsibilities will include:

  • Audio and copy typing of legal documents utilising digital dictation.
  • Managing diaries, booking appointments, and arranging meetings.
  • Liaising effectively with estate agents, solicitors, lenders, and clients as necessary.
  • Handling file opening, closing, and retrieval procedures in compliance with SRA and GDPR regulations.
  • Managing client care, including sending out client care letters and liaising with existing clients about ongoing or new matters.
  • Creating and maintaining electronic documents on the case management system alongside paper files.
  • Ensuring records are accurately kept and updated on the file/case management system, including scanning documents, emails, and letters.
  • Attending to clients in person and over the phone.
  • Assisting with case administration and preparation of documents such as contracts, leases, completion statements, land registry applications, and title searches.
  • Preparing bills and liaising with the accounts team as required.
  • Checking files for work required and ensuring bills are rendered correctly.

Person Specifications:
To excel in this role, you should meet the following specifications:

Skills:

  • Legal experience and knowledge of conveyancing is desirable.
  • Exceptional audio and copy typing skills.
  • Strong communication abilities, both verbal and written.
  • Excellent organisational skills, with a focus on administrative and document management.
  • Proficient in Microsoft Office (2016) and familiarity with database management is desirable.

Knowledge:

  • Previous experience as a Conveyancing Secretary is preferred.
  • Familiarity with completing and filing stamp duty forms and Land Registry applications online.
  • A good understanding of the conveyancing process.
  • Experience in manual and electronic file management.
  • Knowledge of the Solicitors Code of Conduct and Anti-Money Laundering rules.
