Job Overview:
My client is seeking an experienced and dynamic Executive Assistant to provide comprehensive support to senior leadership. This role encompasses a wide array of responsibilities, including health and safety compliance, facilities management, diary organisation, and event planning. The ideal candidate will be proactive, detail-oriented, and adept at multitasking in a fast-paced environment.

This is a hybrid role, 3 days in the office, 2 days at home

Key Responsibilities:

Health and Safety:

  • Ensure the workplace complies with all health and safety regulations.
  • Conduct regular risk assessments and maintain up-to-date safety records.
  • Liaise with external providers to organise health and safety training sessions.

Facilities Management:

  • Oversee the maintenance and operation of office facilities, ensuring a safe and functional environment.
  • Coordinate with vendors and service providers for repairs, upgrades, and supplies.
  • Manage office resources efficiently, including equipment and space allocation.

Diary Management:

  • Organise and maintain senior leadership calendars, ensuring effective time management.
  • Coordinate appointments, meetings, and travel arrangements.
  • Prepare agendas and provide relevant briefing materials for scheduled events.

Event Planning and Coordination:

  • Plan and execute company events, including meetings, conferences, and celebrations.
  • Manage budgets and logistics for events, ensuring all details align with company goals.
  • Collaborate with internal teams and external partners to deliver high-quality outcomes.

Required Skills and Qualifications:

  • Proven experience as an Executive Assistant or in a similar role.
  • Knowledge of health and safety regulations and practices.
  • Strong organisational skills, with the ability to manage competing priorities effectively.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and other relevant tools.
  • Ability to maintain confidentiality and exercise discretion.
  • Background in facilities management
