We are seeking a Personal Assistant to provide comprehensive support to a group of managers within the BMA department. This role is crucial for acting as the first point of contact for both internal and external stakeholders, handling complex and confidential situations effectively.

  • Hourly Rate: £14 to £16 PAYE
  • Location: BBC Broadcasting House, London
  • Job Type: Temporary (Full-time)  
  • Working Hours: 35 hours per week, Mon- Fri
  • Start Date: 28/04/2025
  • End Date: 06/06/2025
  • Hybrid Working: 1 to 2 days in office per week
Day-to-day of the role:
  • Act as the first point of contact for the managers, handling inquiries and requests efficiently.
  • Organise events and meetings, including booking venues, arranging travel, and managing accommodation.
  • Provide diary management services, ensuring effective use of managers’ time by managing and scheduling key appointments.
  • Liaise frequently with various internal and external contacts, screening and prioritising communications.
  • Maintain an efficient and effective filing system, ensuring all documentation is catalogued and organised using internal systems.
  • Assist managers with the collation and preparation of invoices, raising purchase orders, and processing expenses.
  • Prepare documents, presentations, and other materials to a clear brief using established formats and standard software.
  • Undertake straightforward analysis, manipulation, and interpretation of data.
  • Coordinate team IT requests, user administration, systems access, and record keeping, ensuring appropriate IT assets are provided to new or moving department members, and managing the return of assets from leavers.
Required Skills & Qualifications:
  • Proven experience providing designated assistance at a managerial level.
  • Strong organisational, diary management, and planning skills.
  • Ability to prioritise workload effectively and meet tight deadlines.
  • Excellent communication skills and the ability to work well with people at all levels.
  • Strong computer skills with extensive experience in office software packages (Word, Excel, PowerPoint).
  • Proactive approach with the ability to use initiative and handle specific queries.
  • High attention to detail and practical experience in handling complex and confidential information.
  • Desirable: Media sector experience and a relevant business administration qualification.
