As a Client & Team Admin Support, you will be the backbone of our office, providing essential support to our team and creating a welcoming atmosphere for our visitors. Your role is crucial in maintaining an organized, professional environment where everyone can thrive. Day to Day of the Role:
- Represent the company with a positive attitude and professional appearance.
- Welcome visitors and team members appropriately, ensuring they sign in and are escorted as needed.
- Handle phone calls professionally and promptly.
- Manage daily personal admin tasks such as filing and mailbox organization.
- Monitor and maintain office stationery and supplies, placing orders when necessary.
- Ensure all office equipment and environment are in good working order, arranging repairs as needed.
- Assist in scheduling meetings, booking conference rooms, and coordinating travel arrangements for staff.
- Organize internal office events, meetings, and lunches.
- Plan in-house or off-site activities, such as parties, celebrations, and wellbeing days.
- Address team member queries regarding office management issues.
- Oversee office cleanliness and liaise with third-party contract providers.
- Ensure office compliance with health and safety regulations.
- Work with HR to support management of Health and Safety in the office.
- Manage first aid supplies and emergency procedures.
- Provide ad hoc support to the Directors and assist the management team as needed.
- Proactive, can-do approach with excellent communication skills both in person and in writing.
- Friendly and welcoming demeanour towards both internal and external individuals.
- Strong organizational skills with the ability to effectively manage multiple activities and competing priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
