Join us at Media Contacts – a market-leading recruitment consultancy to the media industry for over 30 years – as our first ever Operations Executive. You'll play a key role in keeping our business running smoothly and efficiently, while gaining experience across multiple areas including operations, technology, marketing, HR, and finance.

Why This Role?

This is not your typical entry-level job.
You’ll work directly with our Managing Director (who started in a similar role himself) and gain real exposure to the inner workings of a successful, growing business. You'll also support our sister company, Astrolabe Executive Search, founded in 2024, which shares our vision, culture and office space.

We have exciting growth plans – aiming to triple in size – and this role will grow alongside us. We’re looking for someone smart, proactive, and keen to take ownership. If you love variety, solving problems, improving systems, and contributing to a wider mission, this role could be a perfect fit.

What You'll Be Doing

Your work will span all areas of our business:

IT & Systems

  • Be the go-to person for our IT systems and providers
  • Manage our CRM and ensure GDPR-compliant, high-quality data
  • Identify opportunities to streamline, automate, and improve processes
  • Run reports, analyse performance data, and support digital marketing tools

People & Culture

  • Support onboarding, inductions, and team events
  • Keep our HR systems up to date and assist with contracts and policies
  • Help make Media Contacts a great place to work by supporting wellbeing, diversity, and morale

Finance & Legal

  • Raise invoices and monitor supplier costs
  • Work with our CFO and external accountants on financial tracking
  • Maintain contract records and help manage budgets

Marketing & Brand

  • Support marketing activities across social media, digital ads, and email campaigns
  • Help craft content, coordinate suppliers, and track ROI
  • Manage our website and contribute to creative projects

Office & Facilities

  • Ensure our office is a great, professional space to work and meet clients
  • Manage supplies, contractors, health and safety, and visitor experience

  • A strong academic background of graduate calibre (any discipline considered)
  • A self-starter: highly organised, detail-oriented, and proactive
  • Excellent communication skills and a problem-solving mindset
  • Digital literacy and an interest in improving processes through tech
  • A collaborative attitude and desire to learn and grow
