Office Administrator / PA - £30,000 to £40,000 (dependent on experience)

Monday to Friday | Based in Swiss Cottage

An independent property company specialising in high-end sales and rentals across North West and Central London is seeking an experienced and highly capable Office Administrator / PA to join their team.

This is a fantastic opportunity to work in a professional yet relaxed environment, supporting a small and passionate team. Reporting directly to the Operations Director, you’ll play a key role in ensuring the smooth running of the administrative side of the business across both lettings and sales, whilst providing support to senior management.

Key Responsibilities of the Office Administrator / PA

  • Oversee the progression of new lettings and sales transactions, ensuring full compliance and accuracy.
  • Manage all pre-tenancy administration including referencing, contract preparation, and move-in coordination.
  • Coordinate renewals, manage deposit returns, and book check-ins/check-outs.
  • Maintain up-to-date knowledge of lettings legislation and industry compliance.
  • Handle database and website management, ensuring property listings are accurate and engaging.
  • Book professional photography, write compelling property descriptions, and prepare online adverts.
  • Prepare letters, reports, and presentations as required.
  • Provide general PA support across both sales and lettings as needed.

Requirements:

  • Proven experience as a Lettings Administrator or Sales Administrator within a reputable estate agency.
  • Highly organised with excellent attention to detail.
  • Strong communication skills and ability to manage multiple priorities.
  • Self-motivated, proactive, and capable of working independently.
  • Confident with CRM systems and Microsoft Office.
