The primary purpose of this role is to successfully support the maintenance and management of a portfolio of private and rental properties for a high-profile VIP and their associated businesses, undertaking Planned Preventative Maintenance (PPM), Reactive Maintenance (Hard & Soft Services) and other Client requirements for these properties, ensuring the properties operate with minimal disruption to services. Clear communication is critical to ensure all stakeholders are informed in a timely manner for an efficient and effective execution of the operation.

The role will be an essential support function and ensure all legal and administrative matters are successfully processed to ensure the full compliance by the Client in all relevant property matters.

Key tasks include

  • On-site management and coordination of contractors for maintenance and when it arises capital works.
  • Procurement and contract management support, to coordinate PPM and reactive maintenance.
  • Project management support from conception through to conclusion by supervising contractors during their works at the property in question.
  • Ensuring that H&S standards are maintained and generally ensuring the safety and well-being of yourself and contractors where applicable.
  • Management of the utility infrastructure across the portfolio, taking and submission of readings, open and closing of accounts.
  • Maintenance of accurate records in an already organised and easily accessible system.
  • Directing, coordinating and planning of soft facilities management services such as cleaning, gardening maintenance, waste disposal and recycling.
  • Assist response appropriately to emergencies or urgent issues as they arise and dealing with them in a timely fashion.
  • Helping to review and identify issues as they emerge, obtaining cost estimates for their remediation and communicating this clearly and concisely.
  • Cost forecast management for all expenditure relating to PPM and Reactive services.
  • Contractors cost and invoice management on all planned and reactive maintenance
