About Quarters

Quarters Property Management (QPM) manages HMOs and rent-to-rent properties across London. We’re a lean, entrepreneurial team focused on operational excellence, tenant experience, and smart automation (Dialogflow/WhatsApp, Make.com, Google Sheets/Notion).

Purpose of the Role

Support day-to-day property operations while helping us improve systems and automation. You’ll get hands-on experience across inspections, maintenance coordination, tenant comms, and digital workflows.

What You’ll Do

Operations & Tenancy

  • Assist with tenant onboarding/offboarding (ID checks, AST packs, how-to guides).
  • Log and triage maintenance tickets; schedule contractors and track to completion.
  • Help plan and conduct property visits (HMO compliance checks, inventories, meter reads).
  • Maintain accurate records (gas/EICR/fire safety, licensing dates) and flag renewals.

Contractors & Compliance

  • Source and coordinate contractors; collect RAMS, insurance, and invoices.
  • Update compliance tracker; prepare evidence for audits/inspections.

Data & Systems

  • Keep Notion/Google Sheets dashboards up to date (voids, tickets, spend, KPIs).
  • Clean and structure data for reporting (weekly ops snapshot, cost-by-property).
  • Support automation projects (test WhatsApp chatbot flows, log edge cases, update knowledge base).
  • Prepare simple SOPs/checklists to reduce errors and hand-offs.

Customer Experience

  • Draft clear, polite tenant updates (maintenance timelines, access notices).
  • Monitor shared inbox for common queries and tag/route them correctly.

Ad - Hoc Projects (as needed)

  • Help with cost-saving initiatives (preferred contractor list, parts standards)
  • Assist with social posts for maintenance tips / property standards.

What We are Looking for

  • Hungry to learn, organised, and comfortable taking ownership.
  • Clear written English; confident on the phone/WhatsApp.
  • Competent with Google Workspace; bonus if you’ve touched Notion, Sheets formulas, or Make.com.
  • Full UK driving licence is a plus (not essential).
