My client, a leading London law firm are looking for a guest services representative to join their growing team.

As a Guest Services Representative, you'll play a key role in delivering a seamless and welcoming experience to our clients, visitors, and colleagues.

Job responsibilities

  • Meeting room readiness: Ensure all meeting rooms are properly prepared ahead of client and internal meetings, including cleanliness, layout, AV setup, catering setup, stationery supplies, and any specific client requirements.
  • Client greeting: Welcome and escort clients and visitors to their designated meeting rooms, ensuring a warm and professional experience.
  • Meeting room reservations: book meeting rooms, visitor offices, and other space using EMS software, ensuring efficient use of space.
  • Accurately record all meeting requirements, including catering, AV, and additional services to support a seamless meeting experience.
  • Ensure that all required information is accurately captured to meet client and meeting needs.
  • Visitor management: Register visitors in the Building Visitor Management system, ensuring smooth access, accurate records, and compliance with security protocols.
  • Switchboard operations: Professionally answer and manage switchboard telephone calls, responding to queries and transferring calls as appropriate.
  • Access control: Manage access to Kirkland floors when intercoms are used, verifying identities before granting entry.
  • General administrative support: Provide adaptable support with day-to-day operational and administrative tasks as needed.
  • Shift handover: Deliver clear and thorough handovers, noting key events, issues, and follow-ups for the other team member.
  • Technical support coordination: Report and follow up on AV/IT and Facilities related technical issues, to ensure prompt resolution and minimal disruption.
