The Role You'll be the trusted guardian of a senior executive's time, managing an exceptionally complex and high-profile diary while working within a dynamic team responsible for the university's most ambitious fundraising campaign to date. This role sits within the executive support function and requires someone who can operate with complete discretion and professionalism.
Key Responsibilities:
  • Strategic Diary Management: Proactively manage and prioritise a highly complex executive diary, balancing internal and external commitments
  • Executive Partnership: Build a close working relationship with the Vice-President to understand priorities and motivations
  • Stakeholder Coordination: Liaise with senior leaders, donors, alumni, and external partners to schedule high-level meetings
  • Process Innovation: Develop and refine systems to optimise time management and operational efficiency
  • Cross-functional Collaboration: Work closely with Executive Assistants across the university leadership team
  • Travel Coordination: Support complex international travel arrangements and scheduling

  • Senior-Level Experience: Proven track record of providing diary management and secretarial support to senior leaders in complex organisations
  • System Mastery: Experience creating and adapting systems for managing demanding diaries and complex workloads
  • Exceptional Communication: Outstanding written and verbal communication skills with impeccable attention to detail
  • Pressure Management: Ability to work calmly under pressure while maintaining high standards and professional demeanour
  • Proactive Approach: Highly developed skills in seeking information and building relationships across teams
