Location: Head Office, Regent Street, London
Reporting to: Senior Account Manager
Salary: £32,000 – £37,000 per annum

About the Role:

We are seeking a highly organised and proactive Senior Repairs Planner to join our team based in Regent Street, London. This is a fast-paced and dynamic role within a company that manages maintenance operations for commercial buildings and Crown Estate properties.

As Senior Repairs Planner, your primary responsibility is to ensure the smooth, safe, and compliant delivery of maintenance services across a portfolio of commercial clients. Working closely with the Senior Account Manager, you will coordinate in-house engineers and external subcontractors, manage job workflows, and maintain performance in line with client contracts and service level agreements (SLAs).

Key Responsibilities:

System Management:

  • Use Clik to manage job allocation, track progress, and oversee PPM regimes.

  • Work with various client platforms such as Elogbooks, Dwellent, RiskWise, and Concerto.

  • Maintain documentation and compliance using OneDrive and the H&S Portal.

Client Management:

  • Lead client onboarding, including application forms, T&Cs, rates, and cost agreements.

  • Communicate with clients via email and client-specific platforms; follow internal process guides for job updates, progression, and quality checks.

  • Attend regular contract reviews and contribute to monthly performance reporting.

Contract Management:

  • Oversee the mobilisation of new contracts, ensuring key areas such as compliance, staffing, and finance are addressed (supported by internal guides).

  • Allocate and manage workloads for in-house engineers; conduct toolbox talks and one-to-ones; review and approve job sheets.

  • Manage subcontractors, including defining scope, setting up contracts, scheduling PPMs, and ensuring financial oversight.

  • Monitor and report on monthly KPIs for both internal teams and subcontractors.

Skills & Experience:

  • Proven experience in account management within the building fabric maintenance sector.

  • Strong organisational skills with the ability to prioritise multiple tasks and meet deadlines.

  • Confidence working with both internal teams and external clients.

  • Familiarity with scheduling, compliance, and reporting within commercial maintenance environments.

  • Excellent communication and problem-solving abilities.
