The Role
The Cafe Supervisor will lead the operation of the venue's cafe, providing exceptional service and ensuring a welcoming environment for customers. Situated within a charitable music venue, the cafe offers a selection of freshly baked pastries, sandwiches, savouries, and baked goods. The role
involves overseeing daily operations, maintaining high standards of hygiene and efficiency, and supporting the venues broader mission to foster community engagement and creativity.

The Cafe Supervisor will manage a small team of staff and volunteers, ensuring smooth service during events and daily operations, while aligning with the organisation's values of inclusivity and sustainability.

They will also play a key role in enhancing customer experiences, driving revenue to support the charitys initiatives, and promoting the cafe as a vibrant social hub within the music venue. This position holds keyholder responsibilities and will act as a fire warden.

Salary: £26,000 per annum
Hours: 37.5 hours per week excluding a half hour lunch break, worked over 5 days.
Normal days and hours of work will be Monday to Friday, on a flexible shift pattern
starting between 7:00am and 8:00am and finishing between 3:00pm and 4:00pm.
Flexibility will be expected where additional hours, including evenings and weekends
will be required.
Holidays: 28 days including bank/public holidays

KEY RESPONSIBILITIES

The following is intended to provide guidance as to duties, but it is not exhaustive. You will from time to time be required to undertake other activities of a similar nature that fall within your capabilities as directed by management.

Cafe Operations

  • Oversee the daily running of the cafe, including service during events and general opening hours.
  • Ensure the preparation, display, and quality of freshly baked pastries, sandwiches, savouries, and baked goods meet established standards.
  • Regularly check the levels of drinks and products on display.
  • Place weekly food and beverage orders, with additional orders as needed.
  • Work with the Front of House Manager to coordinate with suppliers regarding products, pricing, equipment maintenance and repairs.
  • Manage and maintain an inviting and clean environment, ensuring tables, counters, and public areas are presentable at all times.
  • Actively promote and support merchandise sales.
  • Participate in weekly staff meetings.
  • Provide support during evening events as required.

Team Management

  • Recruit, train, and manage a team of staff and volunteers, fostering a positive and collaborative working environment.
  • Create and distribute staff rotas in alignment with operational requirements and event schedules.
  • Provide ongoing support, coaching, and performance feedback to team members.

Customer Experience

  • Deliver outstanding customer service, ensuring every visitor feels welcomed and valued.
  • Manage customer inquiries, feedback, and complaints in a professional and timely manner.
  • Act as an ambassador for the cafe and the music venues charitable mission.

Health, Safety, and Compliance

  • Oversee food safety and hygiene standards, ensuring full compliance with legal regulations and internal policies.
  • Carry out routine inspections of equipment, supplies, and stock, addressing any issues without delay.
  • Keep detailed records, including temperature checks, pest control, staff training logs, and stock inventories.
  • Establish and manage a structured cleaning schedule, including monthly deep cleans of the café and stockroom.
  • Ensure proper storage and stock rotation in line with food safety regulations and café procedures.
  • Maintain up-to-date knowledge of food allergens and ensure staff are appropriately trained.

Financial and Administrative Tasks

  • Oversee daily cash handling procedures, reconcile till, and ensure secure storage of cash.
  • Monitor and manage stock levels, actively working to minimise waste.
  • Support the tracking and achievement of sales targets, identifying opportunities to boost revenue.
  • Maintain accurate and up-to-date records including the daily staff beverage log, income and expense reports, KPIs, inventory trends, and key holder access logs.

Event Support

  • Coordinate cafe operations to support the venues events and performances, ensuring seamless integration of food and beverage service.
  • Collaborate with other departments to align cafe offerings with event themes or organisational campaigns.

Other

  • Ensure all bar staff understand and adhere to the terms and conditions of liquor licensing laws and the venues premises licence.
  • Support the Front of House Manager in delivering liquor licensing training to staff.
  • Serve as Duty Manager and a member of the fire evacuation team, assisting with the safe evacuation of patrons under the direction of the Front of House Manager or Incident Chief.
  • Train café staff on evacuation procedures to ensure readiness in your absence.
  • Maintain awareness of general security, health, and safety protocols throughout the building.
  • Carry out any additional duties as reasonably required to support operations.

PERSON SPECIFICATION

Skills and Experience

Essential:

  • Proven experience in a managerial or supervisory role within a café, hospitality, or food service setting.
  • Excellent Barista skills and knowledge of food and coffee preparation.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent customer service and interpersonal skills.
  • Knowledge of food hygiene and health and safety regulations.
  • Experience managing and motivating a team, including volunteers.
  • A proactive, can-do attitude and ability to solve problems under pressure.

Desirable:

  • Experience of duty managing.
  • Experience of working in a bar.
  • Hold a valid Level 2 Food Hygiene and Safety, and First Aid qualifications.
  • Hold a personal licence.
  • Passion for music, community, and the arts.
  • Experience working in a charitable organisation or not-for-profit environment.
