Location: Multi-site (1-2 school visits per month) so must be a car driver

Our client is looking for an experienced and highly organised administrator with experience in estates, compliance or education. An understanding of compliance in an educational setting would be ideal.

The role:

  • Maintain and update central compliance logs, certificates, and asset databases
  • Ensure CAFM and PPM records are accurate and current
  • Coordinate contractors' access, documentation, and queries
  • Support audits, compliance reviews, and reporting processes
  • Process orders for planned, responsive, and capital works
  • Liaise with site teams to collect estates data and monitor inspections
  • Assist in delivering capital investment and grant-funded projects
  • Manage records for statutory testing, servicing, and risk assessments
  • Support procurement and contractor performance monitoring
  • Maintain accurate energy consumption data
  • Provide general administrative support to the Director of Estates and Estates team

The person:

Essential

  • Experience in administration within estates, facilities, or education setting
  • Understanding of statutory compliance (e.g. fire safety, legionella)
  • Competent in CAFM or compliance systems (e.g. Parago, I am Compliant)
  • Excellent communication and record-keeping skills
  • Able to manage confidential data professionally
  • Strong coordination and relationship skills with teams and contractors
  • Proactive, adaptable, and committed to high safety standards
  • Full driving licence and business-insured vehicle for travel between sites

Desirable

  • Experience in procurement or public-sector estates management
  • Knowledge of sustainability or energy management processes
