- Maintain and update CAD drawing indexes, ensuring that all drawing files are up to date.
- Revise and distribute logs for Requests for Information and technical submittals, guaranteeing prompt responses and clear communication with site staff.
- Manage the Sample Log, keeping a record of samples sent, received, and reviewed.
- Frequently update Operation & Maintenance documentation with relevant registers and spec-linked files.
- Track and manage document-related deadlines, notifying relevant team members when action is needed.
- Compile and share the Inspection & Test Plan summaries with leadership teams ahead of contract meetings.
- Produce monthly summaries assessing documentation efficiency and site compliance.
- Participate in project handovers and pre-start meetings to establish the specific documentation needs of each project.
- Coordinate with principal contractors to gain and maintain access to shared digital platforms and establish document handling procedures.
- Assemble all end-of-project documentation, including ‘as built’ drawings, ironmongery schedules, and design files.
- Finalise document logs including CAD indexes, RFI records, and maintenance manuals.
- Ensure a thorough transition to customer support, including a concluding site inspection after project completion.
- Minimum of 2 years’ experience in a documentation role within the construction industry.
- Proficient with systems like Aconex, Asite, 4Projects, or equivalent document/project management tools.
- Advanced user of Microsoft Word, Excel, and PowerPoint.
- Highly organised with a structured approach and strong attention to detail.
- Excellent communicator, comfortable working with internal departments, suppliers, designers, and external project teams.
- Reliable team contributor with a meticulous and principled working style.
- A valid driving licence is essential.
