We are working with an exceptional investment management firm based in Maidstone (Kent) looking for a PA / Administrator to join their team. This role will provide exceptional quality PA and general administrative support to the Private Client Director and other members of a busy and successful client team.

We’re looking for a candidate who has exceptional attention to detail, the ability to work autonomously, and the aptitude and initiative to work proactively to achieve great outcomes for clients and the team. The role will suit an individual with experience as a PA, administrator or receptionist and someone who is passionate about securing a role in the financial services sector.

Responsibilities:

  • To prepare correspondence and documents through audio-typing (digital dictation) and word processing. This includes letters, complex meeting notes, memo’s and extensive reports
  • Handling of incoming and outgoing calls, dealing with client enquires and responding to emails in a professional manner
  • The accurate maintenance of various spreadsheets, logs and bespoke systems
  • To ensure the latest versions of opening documentation forms are available online and directly assisting clients with online investor access issues
  • To make appointments, arrange meetings and maintain up-to-date diary information for the department. This also includes making travel and accommodation arrangements
  • The preparation of monthly MI reports
  • To undertake general administration which includes collecting and distributing post, daily filing, stationary ordering, the opening, closing, storage and retrieval of files within the parameters of FCA policy and procedure
  • To ensure the confidentiality of all client documentation and information
  • Other duties as deemed necessary to fulfil the role

Qualifications and Skills required:

  • Excellent secretarial skills
  • Good knowledge of IT - E.g. bespoke software and Microsoft Office packages
  • Experience with financial planning software Intelligent Office (desirable)
  • Ability to prioritise workload and work to deadlines
  • Good understanding of excellent client care
  • Good organisational skills
  • Excellent attention to detail
  • Good written and oral communication skills
  • Professional

  • Able to work as part of a team
  • Previous experience of working within a professional services environment (desirable)
