Technical Administrator - Temporary vacancy ongoing

We have an immediate temporary requirement for a technical administrator with great data management skills to support the department by managing, reviewing, and maintaining closure information for permits/licences.
Your role will be to ensure that closure of permits/licences is handled in compliance with policy and regulation, that records are accurately maintained, closure actions are properly implemented, and internal and external customers/stakeholders are kept informed of closure status.
Key Responsibilities / Duties
- Process closure information for permits and licences, ensuring compliance with relevant legislation and internal policy.
- Maintain and update closure-related records and databases, ensuring accuracy, completeness and timeliness.
- Liaise with internal teams (legal, property, environmental, permitting, compliance) to ensure all conditions for closure are met (e.g. inspections, remediation works, compliance reporting).
- Support customers / permit-holders with queries about closure requirements, timelines, and documentation.
- Assist in assessing whether closure criteria have been satisfied (desk reviews, reviewing paperwork, perhaps coordinating site inspections if required).
- Produce management information / reports on closure status, performance metrics, backlog, outstanding actions.
- Ensure closure processes are consistent (standard operating procedures), and suggest improvements.
- Ensure that all relevant closure documentation is filed appropriately, archived as needed, and that relevant digital systems (e.g. GIS, permit tracking, contracts) are updated.
- Assist with audits and quality assurance of closure processing.
- Keep up to date with relevant technical, legal, environmental, regulatory changes affecting closure obligations.
Skills, Experience & Qualifications
Essential
- Experience in an administrative or technical support role, ideally within a regulatory / licensing / permitting / closure / environmental / or land remediation
- Good data management skills: working with databases, document management, record keeping.
- Experience in GIS / mapping or ability to visualise spatial information.
- Ability to interpret technical and regulatory documents, plans, maps, licences/permits. Basic GIS / mapping software experience would be very useful.
- Strong communication skills: able to correspond with internal teams, external permit holders, stakeholders; clear verbal and written communications.
- Good organisational skills; able to manage multiple tasks, prioritise, work to deadlines.
- Comfortable working independently as well as part of a team.
- Proficient in standard office software (MS Excel, Word, Outlook) and ability to adapt to in-house digital tools/systems.
