Location: Newark-on-Trent
Salary: £30,000 – £32,000 per annum, depending on experience + company benefits
This is a key position within the service department, responsible for delivering outstanding customer support and ensuring the smooth scheduling and administration of all service activities. The successful candidate will act as the first point of contact for aftersales queries and play a vital role in maintaining efficient internal operations.
Responsibilities include:-
Handling aftersales queries via phone and email in a professional and timely manner

Scheduling engineers for breakdowns, servicing, pre-delivery inspections (PDIs), and stock inspections

Creating and maintaining service jobs in IBCOS GOLD, ensuring accuracy of customer and machine information

Processing jobs promptly, including time approvals and invoicing

Submitting and managing warranty claims via the SANY portal

Preparing and following up on service quotations with customers

Coordinating with the parts department on stock availability, ETA, and allocation
-
Keeping Work In Progress (WIP) records updated with clear job statuses

Managing build sheets and tagging of stock, sold, and demonstration machinery

Filing service documents such as job cards, PDI reports, and compliance paperwork

Supporting the wider service department with general clerical and administrative tasks

Carrying out other relevant duties in line with the role
To succeed in this role, you’ll need to be proactive, detail-oriented, and confident in dealing with both customers and internal teams.
Essential:-
Minimum of 1 year’s experience in customer service and/or service administration

Strong organisational skills with excellent attention to detail

Confident communicator with a customer-first mindset

Proficient with Microsoft Office (Excel, Word, Outlook)

Ability to manage multiple tasks in a fast-paced environment

Full UK driving licence

Experience using IBCOS GOLD, CheckProof, or similar systems

Previous experience in a technical, engineering, or machinery-related environment

Familiarity with service workflows in the construction or agricultural machinery sectors

Own transport
