Service/Contracts Admin Support

  • Job Type: Monday to Friday 9.00am – 5.30pm, office based

We are seeking a dedicated Service/Contracts Admin Support to join a team based in Newbury to help with the additional workload.

This role is to start in the next couple of weeks and will be temporary for the next 12 months so you must be able to commit to that.

The role is to support a small team with administrative tasks and a huge backlog,  so it would suit someone who is used to a high volume.

This role involves a wide range of administrative tasks to support their service and contracts operations, primarily dealing with the NHS and opticians. The ideal candidate will be highly organised, detail-oriented, and capable of managing multiple tasks efficiently.

Day-to-Day Responsibilities:

  1. Request job sheets from the NHS and confirm the last service dates for equipment.
  2. Manage the Service Inbox, coding and forwarding requests and enquiries appropriately.
  3. Assist with ordering device parts directly from customers, including the NHS and opticians.
  4. Handle purchase requisitions, place orders, and ensure accuracy in third-party information, following up as needed.
  5. Process quotes for contracts and raise contracts upon receipt of purchase orders.
  6. Manage resolved order emails to determine if follow-up actions are required and update cases with new or accurate information.
  7. Provide support with the installation job sheet and undertake additional tasks as required.
  8. Interact with customers, service partners, and company representatives through various communication platforms, handling a variety of pre-sales or post-sales service functions.
  9. Provide comprehensive administrative support to the service department, including managing schedules, preparing reports, and handling correspondence.
  10. Confirm customer details, authorise visits and spare parts, and maintain accurate, up-to-date records of service activities and customer interactions.
  11. Manage administration concerning retained engineers’ work, update schedules, request spare parts, and raise job sheets.
  12. Handle queries regarding engineers’ visits and process service orders, including verifying information, generating invoices, and coordinating order fulfilment.
  13. Maintain documentation of customer escalations and contacts.

Required Skills & Qualifications:

  • Proven experience in an administrative role, preferably within a service/contracts environment.
  • Familiarity with service management software.
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and quality orientation.
  • High attention to detail and proficiency in planning and organizing.
  • Ability to work flexibly under pressure and maintain a positive, professional demeanour.
