We are working with a local accountancy firm on the outskirts of Newcastle who are looking to appoint a Practice Administrator to work with their existing Administrator before their retirement in the summer. With easy access to their offices (free car parking) this role is vital for the long-term administrative support of the practice.

Working alongside the existing Practice Administrator you will enjoy a thorough handover and get to understand everything you need to know about the office and varied role you will undertake in going forward.

We are looking for an individual with experience of working in a professional services environment such as a law, accountancy, medical or architectural practice who is familiar with the customer service elements of the sector and compliance requirements.

Your role will include the following:

Meeting clients as they visit the office seeing them to meeting rooms and providing them with light refreshments.

Responsibility for the reception area making sure it is presentable and ready for clients each day.

Taking telephone calls, dealing with queries where possible, taking messages and passing calls to the relevant person.

Looking after the customer database, adding and deleting clients, amending contact details and ensuring it is uptodate each day.

Preparing templates for work and drafting engagement letters for clients, direct debit mandates and the relevant onboarding collation of data such as proof of address and identification checks.

Preparation of letters to clients to accompany their personal tax returns, end of year accounts and also bank audit letters.

Responsible for downloading reports for all payroll clients to issue each month via email.

Updating direct debit mandates.

Responsible for issuing Fee protection insurance letters to clients and any relevant increase in costs.

Overall responsibility for office post, stock ordering, stationary and printing for the office.

Office point of contact for the building.

As the first person many of our clients will meet are looking for a friendly, happy and outgoing Practice Administrator who is a good communicator and enjoys getting to know people and engaging in conversation. You must be smart, presentable and organised with strong IT skills and able to work to deadlines efficiently. Most of all we are looking for someone who loves administration and will make their mark on this position. The office have long serving staff and they look to welcome someone who is looking for a long term position.

The role is office based and can be considered 4 or 5 days each week.
