Job Summary
  • Oversee administrative tasks related to workshop contracts.
  • Promptly handle incoming inquiries and ensure they are directed to the appropriate team members.
  • Track work in progress (WIP) and provide weekly updates to ensure accurate sales reporting.
  • Verify engineers' certifications for site access and regularly update the training matrix.
  • Generate work orders in Dynamics, manage parts orders, and track their progress.
  • Accept service orders within 24 hours.
  • Compile and submit key performance indicators (KPIs).
  • Create presentation materials and data for quarterly review meetings.
  • Prepare and issue invoices.
  • Review and approve engineer timesheets and allowances in Dynamics.
  • Draft and send quotations to customers as needed.
  • Process warranty claims for Volvo Penta within specified timeframes.
  • Attend internal and customer meetings, taking minutes as required.
  • Support the Workshop Manager with various administrative duties.
  • Collect, format, and file engineers' service reports, forwarding them to the relevant customer contacts.
  • Provide assistance to workshop engineers using company and customer applications.
  • Perform additional tasks as needed to meet business requirements.
Requirements
  • Experience providing administration support to an Engineering or Manufacturing team/environment
  • Proficiency in IT (Microsoft Office Suite)
  • Experienced in CRM
  • Excellent communication skills
  • Strong organisational skills
  • Driver with access to a car
