The Company you will be working for;

Our client is an established and successful company based in Newcastle. They are currently looking for an Administrator to join their team. If you are interested and meet the person specification of the job role, please apply below.

The Job You’ll be Doing;

  • Manage administrative aspects of workshop-based contracts.
  • Ensure inbound enquiries are actioned in a timely matter and responded to by appropriate personnel.
  • Monitoring WIP and providing any updates on a weekly basis to ensure accurate reporting on Sales Gap.
  • Ensure engineers have required certification to access customer sites, regularly reviewing and updating training matrix as required.
  • Create work orders in Dynamics, ordering parts required and update as orders progress.
  • Accept MOD service orders within agreed timescales 24hrs
  • Produce KPI’s for MOD (by the 5th of the following month)
  • Produce slide pack and associated date for MOD QRM
  • Produce invoices and 650’s on day of despatch
  • Prepare and produce invoices ensuring all costs are allocated correctly to the job and profit margins are met
  • Checking engineer timesheets in Dynamics and approving all time entries and allowances
  • Type up quotations and send to customers as required.
  • Process warranty claims within timescales
  • Attend meetings internally and with customers as required and take minutes
  • Assist Workshop Manager with all administration duties
  • Collate, format and file engineers service reports and forward to relevant customer contact
  • Provide support to workshop engineers when needed using company and external customer apps
  • Carry out any other ad hoc duties in line with business requirements
