Our well-respected client provides Chartered Accountancy services to a wide variety of businesses requiring all aspects of financial support. They have a vacancy for an experienced, well organised Secretary to carry out a combination of secretarial, PA and administration work. The role is full time, 8.30am to 5pm, Monday to Friday, 37.5 hours per week. The role is office based, there may be some flexibility with the hours.

The role requires someone with good IT skills as much of the work is computer based.

The person for this role will need a positive, flexible can-do approach, turning their hand to whatever needs to be done in order to provide continued first-class customer services.

Role

  • Opening, scanning and dealing with incoming post.
  • Answering and actioning telephone calls.
  • Preparing letters/emails/documents as required.
  • Ordering stationery and office supplies.
  • Meeting and greeting clients.
  • Arranging meetings (in-person and online meetings) / extensive diary management.
  • Sending accounts for approval and online filing.
  • Onboarding new clients, including ID verification and adding to in-house systems.
  • Incorporating new companies for clients.
  • Preparing and submitting company secretarial documentation.
  • Check client liabilities, send reminders.
  • Submit client authority forms to HMRC.
  • Request and provide professional clearance documents.
  • Book in and process client jobs.

Requirements

Ideally you will have some experience of working within Accountancy or Professional services environment, although not essential as relevant training will be provided.

  • Very well organised with the ability to prioritise
  • Attentive and detail oriented
  • Have sound planning and structural skills to monitor lists of accounts filing
  • Follow up on letters sent that require response
  • Rapport builder, with first class verbal and written communication skills
  • Ability to follow processes
  • Able to multi task
  • Competent in the use of Word and Outlook. Basic use of Excel desirable.
  • Be self-reliant and able to work on own initiative, managing own workload whilst ensuring deadlines are met
