Administrative Assistant/Officer
Location: Central Library, John Frost Square, Newport, NP20 1PA
Start Date: ASAP                                               
Contract Duration: 3+ months
Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week

Job Responsibilities

  • Provide administrative support to the Housing Needs Unit.

  • Work full-time at the Central Library Newport Town Centre.

  • Complete general admin tasks, including managing information systems and records.

  • Support staff with problem-solving and assist new employees during induction.

  • Communicate with internal and external agencies to share or gather information.

  • Help service users fill out housing and homelessness forms.

  • Offer face-to-face assistance to service users in the office or council-managed locations.

  • Organize and take minutes for meetings.

  • Ensure statutory checks are completed as required by law.

  • Engage in community duties to support service provision.

  • Assist colleagues in delivering services as needed.

  • Handle ordering and receiving of goods and services.

  • Maintain IT equipment and data security.

  • Monitor invoices and payments, ensuring compliance with financial procedures.

Person Specifications
Must Have

  • Experience dealing with complex situations and clients.

  • Strong customer service skills, especially for reception duties.

Nice to Have

  • Familiarity with GDPR and data protection protocols.

  • Experience in organizing and facilitating meetings.
