Administrative Assistant/Officer
Location: Central Library, John Frost Square, Newport, NP20 1PA
Start Date: ASAP                                               
Contract Duration: 5+ Months
Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week
Pay Rate: £ 12.85 per hour

Job Responsibilities

  • Provide efficient administrative support.

  • Handle general administrative tasks like processing information and updating records.

  • Support senior staff by managing diaries and meeting arrangements.

  • Assist staff with day-to-day issues and new employee inductions.

  • Help with performance management information.

  • Assist in developing and testing IT systems.

  • Coordinate with agencies to share information in line with GDPR.

  • Arrange and facilitate meetings and projects as needed.

  • Take and distribute meeting minutes.

  • Ensure statutory checks are completed legally.

  • Manage office supplies and equipment.

  • Process orders and safeguard IT equipment and data security.

  • Monitor petty cash and ensure documentation follows policies.

Person Specifications
Must Have

  • 5 GCSEs (A-C) including English and Maths or equivalent.

  • Knowledge of standard computer software, Data Protection Act, and GDPR.

  • Substantial administrative experience in an office environment.

  • Good IT skills and experience with Word, Excel, email, and internet.

  • Excellent written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • Organizational skills to manage workload under competing demands.

  • Attention to detail and accuracy.

Nice to Have

  • RSA Stage 2, CLAIT, ECDL, or equivalent.

  • Experience with Welsh Community Care and Information System (WCCIS).

  • Experience in local government or social services.

  • Experience with complex clients and trauma-informed environments.

  • Senior management support experience.

  • Welsh language skills.
