About the Role
We are seeking an exceptional Executive Personal Assistant to join become the operational backbone supporting a successful entrepreneur and their family. This is a unique, multifaceted role that goes far beyond traditional PA duties – you'll be the trusted right-hand managing both business operations and personal family administration.

Key Responsibilities
Business Operations Management (40%)
- Office Administration: Maintain immaculate office environment, coordinate supplies, manage deliveries and building maintenance
- Financial Management: Chase unpaid invoices, manage expense categorization, process refunds, coordinate with accountants
- Compliance & Documentation: Handle Companies House filings, VAT returns preparation, contract management, insurance renewals
- Contractor Coordination: Source, manage and quality-control relationships with service providers, coordinate schedules and appointments
- Communication Hub: Manage emails, screen calls, coordinate with HMRC/council, maintain professional correspondence
Family & Personal Administration (40%)
- Healthcare Coordination: Manage appointments for family medical, dental, optical, veterinary needs; handle prescription collections and medication management
- Event & Travel Management: Coordinate family events, birthday parties, school activities, flight bookings, travel arrangements
- Household Operations: Coordinate cleaning services, maintenance contractors, utility management, insurance renewals
- Financial Personal Tasks: Handle parking fines, council tax applications, mortgage reminders, personal payment processing
- Children's Support: Manage school runs, tuition arrangements, activity bookings, uniform ordering, teacher communications
Strategic Support & Project Management (20%)
- Special Projects: Coordinate VIP visits, business events, property projects, family relocations
- Research & Analysis: Conduct market research, cost comparisons, sourcing solutions for both business and personal needs
- Relationship Management: Maintain relationships with professional services, schools, healthcare providers, and family contacts
- Reporting: Provide regular updates on ongoing projects, expenses, and open action items

What We're Looking For
Essential Skills & Experience
- Proven PA/EA experience (minimum 3-5 years) supporting senior executives or high-net-worth individuals
- Full, clean UK driving licence – essential for business errands and local travel requirements
- Exceptional organizational skills with ability to manage multiple competing priorities simultaneously
- Outstanding communication skills – both written and verbal, comfortable dealing with all levels from contractors to professionals
- Discretion and confidentiality – you'll be trusted with sensitive family and business information
- Proactive problem-solving – anticipate needs and resolve issues before they escalate
- Technology proficiency – comfortable with various software platforms, online booking systems, and digital tools
- Financial acumen – experience with basic bookkeeping, expense management, and invoice processing
