People Shared Service Assistant

We have an exciting opportunity for a People Shared Service Assistant to join our fast-paced centralised service People Team.
As part of a fast-paced and evolving People Experience function, the People Shared Services Assistant plays a vital role in delivering a seamless and responsive HR service. Acting as the first point of contact for employee and manager queries, you'll be at the heart of a growing business, ensuring the accurate and timely processing of employee data, documentation, and transactions across the full employee lifecycle. You'll thrive in a role where attention to detail, service excellence, and compliance, particularly around issuing contractual documents, are key to supporting our people and enabling our growth.
Main Activities and Responsibilities:
Employee Lifecycle Administration

  • Process new starter documentation, contracts, onboarding packs, and right-to-work checks
  • Support leaver administration including exit interviews, final pay, and system updates
  • Maintain accurate employee records in HRIS and personnel files
  • Accurate drafting of Contracts of Employment, variation letters, and any other written correspondence to colleague


First Line People Support

  • Respond to routine People queries from employees and managers via shared inboxes / ticketing systems
  • Provide a professional response to telephone, email, and face-to-face queries, referring matters as necessary to the appropriate team members.


People Systems & Data

  • Input and update employee data in People systems (e.g. starters, changes, leavers)
  • Run reports and support data audits to ensure accuracy and compliance
  • Support payroll cut-off processes with accurate data entry and validation


Compliance & Process Improvement

  • Ensure all documentation complies with GDPR and internal policies
  • Compiling and issuing new starter checks
  • Support DBS and background checks where required
  • Contribute to continuous improvement of shared service processes and documentation


Skills required
Essential

  • Previous experience in an administrative or HR support role
  • Strong attention to detail and accuracy
  • Excellent organisational and time management skills
  • Confident using HR systems and Microsoft Office (especially Excel and Outlook)
  • Ability to handle confidential information with discretion


Desirable

  • Experience in a shared services or high-volume HR environment
  • Familiarity with onboarding, payroll, or recruitment processes
  • Knowledge of employment legislation and right-to-work requirements
  • Ability to prioritise own workload and have pride in high standards
