Senior Practice Administrator to CEO

Partner Practice of St James Place

Up to £30,000

Nottingham / Hybrid

Our client are a well-established Wealth Management Practice that provides bespoke services to Private Clients, Business Owners, Trustees, and Sports Professionals. They are now looking for a Senior Practice Administrator to join their team. The Senior Administrator will support the CEO with any requirements they may have including processing client requests, preparing letters and proving a thorough service.

This is an excellent opportunity to gain exposure to dealing with high-net-worth Clients, development is available for this who aspire to work towards Industry exams.

Responsibilities:

  • Maintain effective diary system to ensure clients are offered review meetings at the appropriate time.
  • Contact clients and book review meetings using diary colour coding system. Confirmation letters/emails to be sent to clients and agendas to be sent out prior to the meeting taking place.
  • Booking of Drawdown Reviews ensuring State Pension Forecast received prior to meeting.
  • Preparation of meeting packs for CEO to complete reviews and presentation meetings when signing up new business including any necessary printing. Pre-population of relevant forms where relevant and sticky notes for client completion.
  • Preparation of Post Meeting Letters summarising the points arising in CEO’s review meetings. Ensure that client meeting notes are recorded on the CRM system and CFR updates are completed. Completion of fund switches, rebalances and withdrawals as well as creating the relevant confirmatory paperwork.
  • Meet & Greet clients’ when meetings are held onsite.
  • Build strong relationships with the CEO’s clients and act as a point of contact for clients and deal with any relevant issues/queries.
  • Completion of FE Analytics performance charts for use in presentation meeting packs but also on an ad-hoc basis, when required, to support the CEO.
  • Completion of protection comparison reports, quotations, and processing applications, if required by CEO.
  • Completion of analytics and obtaining CYC prior to passing to CEO, ensuring client is contacted bi-weekly to update.
  • Completion of Trust forms in line with St. James’s Place guidance and support resources.
  • Dealing with any stages of the Death process where relevant.
  • Take lead on new projects that become relevant as RWM or St. James’s Place require.
  • Input of data on relevant cashflow modelling systems to assist CEO with case construction.
  • Undertake all tasks relating to the PA role when required to provide holiday/sickness cover, etc.
  • Onboarding calls to new clients to discuss the services we offer.
  • Completion of any other administration duties as required by the CEO

Experience and Skills:

  • SJP experience is needed for this role
  • Ability to work under pressure of tight deadlines to ensure company SLAs are met
  • Strong interpersonal and team skills
  • Proven track record in a financial services Administrator role
  • A keen eye for attention to ensure case/business errors are mitigated
  • The ability to self-develop and show initiative by researching solutions independently
  • Ability to change and adapt swiftly as business needs alter
  • Skilled in usage of IT systems such as Word, Excel and PowerPoint
  • Professional telephone manner and strong communication skills (both written and verbal)
