Estate Agency Operations  /  PA to the Director

Location: Eastcote/RuislipSalary:£35,000 - £40,000Hours: Monday to Friday, 9:00 AM – 5:30 PMIndustry: Estate Agency & Lettings

About the Role:

 We’re working exclusively with a highly successful independent Estate & Letting Agency based in Eastcote/Ruislip, seeking a dynamic Operations Lead / Personal Assistant to the Director.This is a crucial, hands-on role for someone with solid estate agency experience, who understands the operational flow of a busy sales and lettings environment. You'll be the right hand to the Director, ensuring the business runs smoothly on both a strategic and day-to-day basis. Responsibilities:

  • Oversee the smooth running of the office, ensuring efficient processes and systems across Sales, Lettings, and Property Management
  • Act as a key point of contact between departments and senior leadership
  • Manage compliance and ensure adherence to property legislation and regulations (AML, GDPR, client money handling etc.)
  • Review and improve operational procedures, software, and office systems
  • Support staff onboarding, training, and day-to-day HR admin
  • Work closely with suppliers and manage contracts (portal providers, utilities, contractors)
Personal Assistant Duties
  • Act as a trusted gatekeeper and point of support to the Director
  • Manage diaries, meetings, travel arrangements, and correspondence
  • Prepare reports, performance updates and ad-hoc projects
  • Assist with team communications and company-wide updates
  • Provide proactive support to enable the Director to focus on growth and strategic planning
The Ideal Candidate Will:
  • Have essential previous experience working in estate agency (either lettings or sales)
  • Be exceptionally organised with strong multitasking ability
  • Be discreet, reliable, and able to work independently
  • Have strong knowledge of compliance and operations within estate agency
  • Be confident using property software 
  • Take pride in creating structure and efficiency
