Key Responsibilities:

Minute Taking:
- Attend meetings and accurately record detailed minutes.
- Distribute minutes to relevant stakeholders promptly.
- Maintain a record of past meeting minutes for reference.

Diary Management:
- Schedule and coordinate appointments, meetings, and events for senior staff.
- Ensure the calendar is up-to-date and conflicts are resolved.
- Remind senior staff of upcoming commitments and prepare necessary materials.

General PA Duties:
- Correspondence Management: Handle incoming and outgoing communications, including emails, letters, and phone calls.
- Document Preparation: Draft, format, and proofread documents, reports, and presentations.
- File Management: Organise and maintain electronic and paper files, ensuring confidentiality and easy retrieval.
- Travel Arrangements: Plan and book travel, accommodation, and itineraries for senior staff.
- Office Supplies: Monitor and order office supplies to ensure the smooth running of the office.
- Meeting Coordination: Arrange meeting venues, prepare agendas, and ensure all necessary equipment is available.
- Support to Senior Staff: Provide administrative support to senior staff, including personal tasks as required.
- Project Assistance: Assist with special projects and research tasks as needed.
- Liaison Role: Act as a point of contact between senior staff and other employees, clients, and external partners.
Additional Responsibilities:
- Event Planning: Organise and coordinate internal and external events, such as conferences, workshops, and team-building activities.
- Data Management: Maintain databases and ensure data accuracy and integrity.
- Policy Compliance: Ensure all administrative activities comply with organisational policies and procedures.
- Professional Development: Stay updated with industry trends and best practices to enhance job performance.
Requirements:
- Proven experience as a PA or in a similar administrative role.
- Excellent organisational and time-management skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Attention to detail and a high level of accuracy.
