Maintenance Administrator | 28,000 - 30,000 | Office-Based in Poole

Are you a highly organised and detail-oriented professional with a passion for administration and coordination? Join our friendly and dynamic Head Office team in Poole and become a key player in supporting our busy Maintenance Department!

Location: Poole
Type: Full-time, Permanent
Hours: Monday - Friday, 8:30am to 5:30pm (40 hours/week)
Salary: 28,000 - 30,000 per annum

About the Role:
We're looking for an experienced administrator who thrives in fast-paced environments. You'll play a central role in coordinating engineer visits, managing job packs and van stock, raising invoices and quotes, and ensuring smooth day-to-day operations within the maintenance team.

Key Responsibilities:

  • Scheduling engineer appointments and booking hotels

  • Preparing job packs, quotes, and invoices

  • Managing van stock and returns

  • Using Servicelife to maintain customer/site history

  • Chasing timesheets, job sheets, and outstanding quotes/invoices

  • Entering sales orders and costing engineer time

  • Handling calls, emails, and administrative tasks as needed

About You:

  • Experience in a similar administrative role (preferred)

  • Excellent communication and interpersonal skills

  • High attention to detail and accuracy

  • Strong numeracy and IT skills

  • Proficient with MS Office

  • Confident decision-maker who works well under pressure
