Due to exciting company growth, we are looking for a Payroll & Billing Administrator to help look after our self-billing clients.
This role is part of our Credit Control team and will ensure the candidates are paid accurately and on time each week, sales invoices are raised correctly, and the cash received from the client is allocated to the account.
Role & Responsibilities of a Payroll and Billing Administrator:
- To work both independently and with your team to complete high levels of data entry accurately and to tight deadlines.
- Working closely with our Consultants & Directors, you will have responsibility for the end-to-end process of entering timesheet figures for payment to candidates to allocating and reconciling the cash received from our clients.
- As a team accurately enter 1(Apply online only)+ timesheets on to a Pay and Bill system weekly.
- Query rates with internal employees.
- Review timesheets processed for errors/omissions.
- Use the system to generate sales invoices.
- Resolve queries raised by contractors, clients and internal employees in relation to timesheets, payments and invoices.
- Ensure all allocated overdue balances are monitored and chased, by telephone and/or email, in a timely manner to enable swift collection of the debt.
- Identification and timely resolution of queries with sales invoices across allocated accounts including resolving discrepancies when allocating Client payments.
- Timely and accurate posting of customer receipts using remittance advices or other confirmation.
- Report on all overdue invoices along with an update on the reason, action taken and the proposed resolution.
- To seek assistance from Consultants, Managers & Directors, where appropriate, in the collection of debt.
- Continued review of systems and processes to ensure they remain efficient, effective and follow industry best practice where appropriate.
- Provide cover for other members of the finance team when required.
- Other general admin duties as requested by the Finance Director.
Essential Education & Skills Required
- 5 or more GCSE’s, including English and Maths, at Grade C/Level 4 or above.
- 2 or more A Levels (or equivalent).
- Basic knowledge of Microsoft Excel.
- An excellent work ethic and attention to detail.
- Experience in large volume data entry.
