Service Desk Coordinator

About the Role

A well-established organisation in the fire and security sector is seeking a highly organised and detail-oriented Service Desk Coordinator to join its operations team. This is a key administrative role responsible for managing engineer schedules, coordinating service desk activities, and ensuring seamless communication between departments and clients.

Key Responsibilities

Engineer Scheduling & Job Coordination

  • Allocate engineer resources for service visits and client call-outs.
  • Liaise with project and operations teams to align scheduling priorities.
  • Monitor and report any concerns regarding engineering staff to the Service Desk Manager.
  • Understand and apply client-specific SLAs and cost structures.
  • Set up jobs using job management software and coordinate stock requirements with the stock team.
  • Arrange necessary permits, plant, and equipment for site access and job completion.
  • Ensure timely off-hire of equipment and tools.

Service Desk Administration

  • Coordinate with subcontractors to ensure SLA compliance and timely completion of planned maintenance.
  • Process completed service sheets and forward relevant information for remedial quotations.
  • Update and maintain job records, notes, and documentation within the job management system.
  • Schedule follow-up visits and pass completed jobs for invoicing.

Cross-Departmental Collaboration

  • Work closely with stock management, accounts support, and project managers to ensure operational efficiency.
  • Support the wider service team with administrative tasks as required by senior management.

Candidate Profile

  • Strong organisational and multitasking skills
  • Excellent communication and coordination abilities
  • Experience with job scheduling or service desk software (preferred)
  • Ability to work under pressure and manage competing priorities
