Job Description:

  • Efficiently manage all incoming and outgoing mail, faxes, and deliveries, ensuring timely distribution.
  • Maintain and update archiving systems, including arranging file retrieval and storage, and handling related administrative tasks.
  • Carry out high-volume photocopying, particularly for court bundles, under tight deadlines, and ensure accurate and prompt distribution.
  • Monitor stationery levels and restock as needed.
  • Perform errands within the town centre when required.
  • Support the office with general administrative duties, occasional IT tasks, and basic typing (e.g., attendance notes).
  • Answer and direct calls professionally, take accurate messages, and promptly deliver them by phone or email. Manage voicemail messages each morning.
  • Welcome clients, manage appointment arrivals, and assist with ID verification.
  • Maintain a clean and welcoming reception area and meeting rooms. Offer refreshments when requested and consistently uphold high standards of client care.
  • Demonstrate a proactive, team-focused attitude and a willingness to take on new tasks as needed.

Person Specification:

  • Law degree is essential
  • GCSE in Maths and English (A*-C) or (9-4) or equivalent
  • Demonstrated ability to interact professionally with clients in person and over the phone, including handling challenging situations with patience and diplomacy.
  • Strong verbal and written communication skills, with a courteous telephone manner and a focus on delivering excellent client service. Listens actively and asks relevant questions to ensure clarity.
  • Maintains a neat and professional appearance, adheres to dress standards (including uniform if required), and presents themselves as approachable and well-groomed.
  • A reliable team player with a cooperative and adaptable approach, willing to support colleagues and adjust to new methods or tasks as needed.
  • Works effectively without close supervision, showing initiative and the ability to manage tasks independently.
  • Understands the professional environment and demonstrates good judgement, including recognising role boundaries.
  • Capable of working efficiently in a busy setting, meeting deadlines and maintaining composure during high-pressure situations.
  • Creates a positive first impression for clients and visitors, ensuring a warm and professional atmosphere.
  • Competent with computers and office systems, supporting day-to-day administrative functions.
  • Handles sensitive information with confidentiality and integrity.
