Role Overview:
They are seeking a highly organised and proactive Scheduler to join the dynamic team. In this pivotal role, you will be responsible for coordinating and scheduling planned and reactive maintenance tasks for our mobile and site-based engineers. Your efforts will ensure that works are completed efficiently, within service level agreements (SLAs), and to the high standards expected by the companyand its clients.

Key Responsibilities:

  • Schedule and dispatch engineers for planned maintenance, reactive callouts, and emergency works.
  • Monitor job progress, update records, and ensure all works are completed within agreed SLAs.
  • Liaise with clients, engineers, and subcontractors to confirm access, timelines, and any job-specific requirements.
  • Use CAFM or scheduling software to manage workflow and ensure all documentation is up to date.
  • Prioritise and allocate work based on skill sets, location, and urgency of requests.
  • Communicate changes or updates clearly and promptly to all stakeholders.
  • Support the Operations and Compliance teams with data, reports, and service records as needed.
  • Identify and escalate any scheduling conflicts or resource constraints.

Requirements:

  • Proven experience in a scheduling, dispatching, or coordination role, ideally within facilities management or a related service industry.
  • Strong IT skills, particularly in CAFM systems, Microsoft Office, and scheduling platforms.
  • Excellent communication and interpersonal skills.
  • Ability to multi-task, work under pressure, and adapt to changing priorities.
  • High attention to detail and organisational skills.
  • Familiarity with compliance requirements in facilities services (e.g., HVAC, fire safety, electrical testing) is desirable.
