A leading healthcare provider based in Sheffield, specialising in delivering tailored, end-to-end healthcare services across various clinical specialities, is seeking a highly motivated and enthusiastic Senior Administrator / PA to Directors.

This is a pivotal role, providing exceptional administrative support to the Directors to ensure smooth daily operations, while maintaining the highest standards of confidentiality and professionalism. You will need to handle sensitive information discreetly, work independently, and proactively resolve issues as they arise.

Key Responsibilities:

  • Maintain efficient office administration systems to support Directors.

  • Organise and attend executive meetings and conferences, take minutes, and ensure follow-up on actions.

  • Prepare agendas, reports, and papers, and assist the Managing Director (MD) with follow-up on required outcomes.

  • Manage secure paper-based and electronic filing systems in line with GDPR regulations.

  • Process referrals, input data accurately, and maintain updated records.

  • Handle general administrative duties: post, supplier management, telephone answering, and email monitoring.

  • Arrange UK and overseas travel and accommodation for the MD and team; track expenses and ancillary costs.

  • Monitor deadlines and task progress, ensuring daily summaries and key updates are provided to the Head of Operations.

  • Support financial administration tasks, liaising with the accountant on invoices, payroll, and other financial records.

  • Maintain confidentiality on sensitive business matters and support ad-hoc confidential projects as required.

Qualifications and Experience:

  • NVQ Level 3 in Business and Administration (or equivalent) - desirable.

  • Proven experience in diary management and minute-taking.

  • Strong discretion and ability to handle confidential matters.

  • Excellent typing skills and proficiency in Microsoft Office (Word, PowerPoint, Excel).

  • Outstanding communication, influencing, and team-working skills.

  • Highly organised, detail-focused, and able to work under pressure.

  • Previous experience in a PA role, ideally within the NHS or public sector - desirable but not essential.
